Transitioning Payroll from your Credit Union - Frequently Asked Questions

FAQs for your transition to being a direct client of PaymentEvolution payroll.

What is changing?  

The two main changes are (1) how you access your payroll account and (2) how you process transactions. After transitioning your account, you will start logging in at PayEvo's direct login page, and deposits to your employees and the government will be made through PayEvo instead of your credit union.  

In many cases, your transaction lead time may also change (up to 5 business day processing time if using pre-authorized debit).  


What is the process of transitioning my account?  

You will complete a form online where you can accept the terms of transition, confirm your preferred transition date and PayEvo service plan. On your transition date, PayEvo will update your service plan and help you login for the first time. In doing so, you will then no longer be able to access payroll from your credit union's online banking portal and will login directly to PayEvo from then on.  


Will I keep my existing data?  

Yes! This transition will not have any impact on your data. Everything currently in your account will remain exactly as is.  


What will I need to set up ePay with PayEvo?  

In your account, you will be prompted for your business registration/articles of incorporation, a void cheque, and 2 pieces of current, government-issued ID for the owner/signing officer. In some cases, more information may be requested.  


How long does set up take?  

While the process of signing up direct with PayEvo can take less than a day, you'll also need to leave yourself time to set up ePay, PayEvo's direct deposit service. They will require some documentation from you (ex. IDs, business registration, etc.) that you will upload within your account. To avoid disruption to your regular scheduled payroll, we recommend starting this process at least 2 weeks before the first pay run you wish to process in PayEvo directly.  


How will my fees change?  

Once you transition, your fees will be billed to you by PayEvo directly depending on your selected service plan. You can find more information here on PayEvo's fees and plans: https://paymentevolution.com/Pricing   


What payment options will be available?  

You can fund payroll with pre-authorized debit, bill payment, wire transfer, or Interac e-Transfer. Please note that ePay must be reviewed and activated by PayEvo for these methods to be available.  


Who do I contact regarding older transactions from before I transition my account?  

You will still be able to see your history for transactions processed via your credit union. If you have questions concerning any transaction processed before your transition to PayEvo directly, then please contact your credit union for assistance.  


How will my employee deposits and government remittances be handled?  

These can still be handled the same way you were processing them to this point. Following transition, though, the funds will be moved by PayEvo. Your employees will still be paid, and government remittances will still be sent. Please note that remittance timing may differ from your current timing. For example, if your remittances are sent to the government immediately after processing, with PayEvo, they will still be withdrawn at the time of processing, but will be sent in time for your specified due date.
